This study investigates data backup practices employed by staff at Herat University, highlighting current strategies, identifying challenges, and proposing practical solutions to enhance data security. The findings reveal significant inconsistencies in backup frequency and methods across departments, a heavy reliance on local storage solutions, and a lack of formal backup policies. A mixed-methods approach was used, combining quantitative data from 195 staff members with qualitative document analysis. The study identifies key challenges such as unstable power conditions, inadequate technical knowledge, and decentralized backup responsibilities. Most staff used full backups stored on hard disks, while cloud-based solutions were underutilized. The absence of standardized policies and regular backup evaluations further compromised data integrity. Based on these findings, the study recommends implementing a comprehensive university-wide backup policy, centralizing backup management within the IT department, promoting cloud storage, and conducting regular training and audits. These interventions aim to strengthen Herat University’s data resilience and offer a model for other academic institutions facing similar challenges in data protection and continuity.
